Position Title: Payroll and Accounts Payable Coordinator
Overview: Our client is seeking a detail-oriented and organized Payroll and Accounts Payable Coordinator to assist in managing daily accounting operations. In this essential role, you'll handle payroll processing, accounts payable, and ensure financial accuracy and compliance. Key Responsibilities:
Payroll Processing:
- Process bi-weekly payroll using third-party software, ensuring accuracy in timecards and approvals.
- Reconcile payroll register and collaborate with the CFO for final approval before fund submission.
- Manage payroll deductions, including taxes, and ensure timely coordination of 403B plan deposits.
- Review and reconcile quarterly and annual tax reporting; ensure W-2 forms are accurate for year-end distribution.
Accounts Payable Management:
- Oversee all aspects of Accounts Payable, from receiving and processing invoices to obtaining necessary approvals from Directors/Managers.
- Prepare weekly cash requirements and facilitate the check run process, ensuring timely vendor payments.
- Ensure proper vendor classifications for 1099 forms and submit completed forms to employees and the IRS on time.
- Reconcile corporate credit card accounts, ensuring appropriate approvals and correct general ledger coding.
Qualifications:
- Proven experience in payroll and accounts payable functions.
- Strong attention to detail with the ability to manage multiple tasks efficiently.
- Proficiency in accounting software and Microsoft Office Suite.
- Knowledge of payroll processing, tax reporting, and 1099 forms.
- Strong communication skills and the ability to collaborate with teams across departments.
