Manufacturing Administrative Assistant

Our client is seeking a motivated and detail-oriented Manufacturing Administrative Assistant to support their manufacturing operations. The ideal candidate will play a key role in ensuring the smooth day-to-day running of our production by handling work orders, customer service inquiries, purchase orders, and production scheduling. This role requires strong organizational skills, attention to detail, and the ability to collaborate across departments.

Key Responsibilities:

  1. Work Order Management:
  • Create, issue, and track work orders for production.
  • Ensure accurate and timely processing of work orders in line with production schedules.
  • Coordinate with production teams to resolve any issues or discrepancies with work orders.
Customer Service:
  • Serve as the primary point of contact for customer inquiries related to orders, lead times, and production status.
  • Provide prompt and professional responses to customer emails and calls.
  • Address and resolve any customer concerns regarding orders or shipments in a timely manner.
Purchase Order Processing:
  • Generate and process purchase orders for raw materials, parts, and other supplies needed for production.
  • Work closely with suppliers and vendors to ensure timely delivery of materials.
  • Monitor inventory levels and reorder supplies as necessary to avoid production delays.
Production Scheduling:
  • Assist in creating and maintaining the production schedule.
  • Communicate with the production team to ensure all necessary resources are available for upcoming projects.
  • Update the schedule as needed to reflect changes in priorities or order requirements.
  • Help optimize production efficiency by coordinating with various departments to ensure alignment with deadlines and capacities.
General Administrative Support:
  • Maintain accurate records of production activities, inventory, and shipments.
  • Assist with document preparation, filing, and data entry.
  • Provide administrative support to production managers and other departments as required.

Qualifications:

  • High school diploma or GED required; Associate's degree or relevant certification in business, supply chain, or a related field is preferred.
  • Previous experience in a manufacturing environment is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with ERP systems or manufacturing software is preferred.
  • Ability to work in a fast-paced environment and meet deadlines.
