Executive Assistant

Executive Assistant needed for private practice. We are looking for the EA to be the gatekeeper and backbone of a growing business. We are looking for a flexible and reliable EA who will be responsible for providing operational support to the assigned leadership team. The ideal candidate will provide top-level assistance for high level. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. This role will require excellent customer service skills both verbal and written as you will correspond to client inquiries and handle confidential information.

Responsibilities

  • Partner strategically with assigned leadership to support the execution of short- and long-term goals
  • Act as Office Manager greeting visitors, sorting mail, ordering supplies, directing calls, management of social media and website updates
  • Provide direct support for time-sensitive and proprietary tasks for Assigned Leadership team members as requested
  • Operate in a self-directed manner, identifying and addressing risk mitigation, process improvement, communication, and support needs affecting the successful delivery of client solutions
  • Calendar management for executives
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Prepare presentations, meeting notes and documents for executives
  • Assist teams with reports and website projects
  • Travel and Event planning and coordination

Qualifications

  • Bachelor's degree
  • Minimum of 5+ years of experience as an Executive Assistant reporting to a senior manager is preferred
  • Advanced Microsoft Office, PowerPoint, Google Suite, Basecamp, Smartsheets, Trello
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills; Friendly and professional demeanor
  • Thrives when given new projects and takes ownership of them from start to finish
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • Self-motivated, independent worker with the ability to work on teams
  • Ability to adapt in a constantly-changing and ambiguous environment
  • Always looking to help others and willing to take ownership
