Executive Administrative Assistant

Boston based firm is seeking a resourceful, self-directed Administrative Assistant to support its President as well as varying support to others in the office. This is a family friendly company where employees work very hard but also enjoy themselves and laugh. Need employee who is detail-oriented, highly organized, and an outstanding communicator and can work independently as well as be part of a team. The ideal candidate is someone who does not take themselves too seriously as we can get though any situation if we work together and enjoy what we do.

Responsibilities:

  • Manage calendars, inboxes, incoming correspondence, and meeting agendas, directing updates and communication to the appropriate parties
  • Coordinate scheduling and details of meetings, conferences, and travel
  • Maintain accurate contact information for internal and external contacts
  • Assess, refine, and optimize organizational processes and systems
  • Document and report on expenses and other data as needed
  • Compose and disseminate written materials including memos, emails, and forms
  • Balance progress on long-term projects and management of short-term items with shifting urgency
  • Own in-person office management, including maintenance of office conditions and supplies


Qualifications:

  • Bachelor's degree and/or equivalent experience
  • 1-4 years of experience as an Administrative Assistant
  • Proficiency in Microsoft Office programs
  • Excellent time management and multi-tasking skills required
  • Highly personable and comfortable interacting with individuals of various scientific and cultural backgrounds
  • Strong sense of professionalism and integrity
