Executive Administrative Assistant
Boston based firm is seeking a resourceful, self-directed Administrative Assistant to support its President as well as varying support to others in the office. This is a family friendly company where employees work very hard but also enjoy themselves and laugh. Need employee who is detail-oriented, highly organized, and an outstanding communicator and can work independently as well as be part of a team. The ideal candidate is someone who does not take themselves too seriously as we can get though any situation if we work together and enjoy what we do.
Responsibilities:
- Manage calendars, inboxes, incoming correspondence, and meeting agendas, directing updates and communication to the appropriate parties
- Coordinate scheduling and details of meetings, conferences, and travel
- Maintain accurate contact information for internal and external contacts
- Assess, refine, and optimize organizational processes and systems
- Document and report on expenses and other data as needed
- Compose and disseminate written materials including memos, emails, and forms
- Balance progress on long-term projects and management of short-term items with shifting urgency
- Own in-person office management, including maintenance of office conditions and supplies
Qualifications:
- Bachelor's degree and/or equivalent experience
- 1-4 years of experience as an Administrative Assistant
- Proficiency in Microsoft Office programs
- Excellent time management and multi-tasking skills required
- Highly personable and comfortable interacting with individuals of various scientific and cultural backgrounds
- Strong sense of professionalism and integrity
