JOB SUMMARY:

Answer phones, schedule appointments, insurance authorizations, other administrative duties as needed. Recent experience in a medical admin position a plus! Hours are 8:30 - 4:30 Monday - Friday!

Collaborates with Practice Manager for coordination of the operations of the Clinic. Maintains patient and administrative schedules for physicians and Advanced Practice Providers and books necessary procedures and testing for patients of the clinic as requested by physicians. Follows Hospital policies and JCAHO standards. Processes and obtains insurance referrals, prior-authorizations for tests and procedures, insures patient eligibility with payers and coordinates daily billing of the clinic. Assists Chief of Thoracic Surgery with scheduling meetings, lectures and appointments for NWH activities. Completes special projects and administrative tasks assigned by physicians and administration. Track Multi-Specialty clinic volume, to include, but not limited to clinic visits, OR, and finances.

ESSENTIAL FUNCTIONS

Prioritizes work requirements to optimize daily operations including but not limited to: registration, telephone/communications operations, scheduling, obtaining and tracking all necessary information and authorizations to allow patient care to occur in compliance with all third party, insurer and federal regulations.

Assures appropriate interaction occurs directly with patients and physician offices to assist in their understanding of the Multi-Specialty Clinic’s requirements for referral, authorization, billing and collection under Business Manager's and the MGPO’s Professional Billing Office’s direction.

Represents the clinic in communication and interactions with registration, central scheduling and patient accounts to assure optimal patient flow and collections.

Works collegially with other appropriate office/support operations supervisors to coordinate patient flow and operations that effect functions of the Multi-Specialty Clinic.

Answers telephones and schedules patient visits as appropriate.

Schedules ancillary testing for patients and ensures providers receive test results in a timely fashion. Schedule operating room and interventional radiology procedures.

Ensures provider credentialing and enrollment information is current with NWH and the payers.

Retrieves, sorts and delivers daily mail for clinic.

Maintains proficiency with the multiple scheduling systems used by MGH and NWH to coordinate patient care.

Oversees the billing process in the Multi-Specialty Clinic and ensures correct preparation, processing and delivery to MGH.

Completes the necessary documentation to employers, schools or insurance companies for the purpose of patient disability or worker’s compensation.

Communicate with VNA/home health agencies in conjunction with N.P.

Maintains exam room and waiting area cleanliness, ensuring all office/medical supplies and brochures are readily available.

Initiates work requests for maintenance issues through NWH Property Management Company or through NWH Facilities and Maintenance.

Identifies, monitors and resolve IS and telecommunication issues, which may impact service operations.

Attends meetings, training sessions and conferences as necessary at NWH and MGH.

Coordinates, delegates or completes clerical tasks such as typing, filing, etc. as necessary.

Demonstrates strong customer service skills.

Completes other special projects and administrative tasks that are assigned on a routine basis.
