Administrative Assistant

As a Dispatcher Administrative Assistant, you will play a vital role in ensuring the smooth operation of our construction projects by coordinating schedules, dispatching personnel and equipment, and providing administrative support to the construction management team. You will be the primary point of contact between field personnel, subcontractors, suppliers, and the office, ensuring effective communication and timely resolution of any issues that may arise.

Responsibilities:

  1. Dispatch personnel and equipment to construction sites according to project schedules and requirements.
  2. Coordinate with project managers, superintendents, and field staff to ensure efficient allocation of resources.
  3. Monitor and track the progress of construction projects, including the arrival and departure of personnel and equipment.
  4. Communicate with subcontractors, suppliers, and other external parties to coordinate deliveries, pickups, and site access.
  5. Maintain accurate records of dispatch activities, including timesheets, work orders, and equipment utilization.
  6. Assist in the preparation of project documentation, including contracts, permits, and reports.
  7. Provide administrative support to the construction management team, such as scheduling meetings, answering phones, and managing correspondence.
  8. Ensure compliance with company policies, procedures, and safety regulations at all times.
  9. Collaborate with other departments, such as procurement and logistics, to optimize resource allocation and streamline operations.
  10. Identify opportunities for process improvement and contribute to the development of best practices within the dispatching function.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree in business administration, construction management, or related field preferred.
  • Proven experience in dispatching, administrative support, or customer service, preferably in the construction industry.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with a diverse range of stakeholders.
  • Proficiency in computer applications, including MS Office Suite and dispatching software.
  • Knowledge of construction processes, terminology, and safety regulations is desirable.
  • Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
  • Flexibility to adapt to changing priorities and willingness to work occasional overtime as needed.
