A top law firm in the Westbrook ME area is seeking administrative support for their real estate group. The right candidate will have knowledge of the real estate industry, but legal expertise is not required.
- Document Preparation and Management such as drafting, editing, and formatting legal documents.
- Client Communication including but not limited to handling phone calls, emails, and in-person inquiries from clients, real estate agents, and other parties involved in transactions.
- Assist in scheduling appointments, coordinating meetings, and managing calendars.
- Conducting legal research on property ownership, zoning laws, real estate regulations, and case law using legal databases. You may also research property titles and liens.
- Organizing and maintaining physical and electronic filing systems for legal documents, correspondence, and case files.
- Coordinating real estate closings by preparing closing documents, scheduling appointments, communicating with clients and other parties, and ensuring all necessary paperwork is completed accurately and on time.
- Assisting with billing clients for legal services rendered and tracking billable hours.
- Providing general administrative support such as photocopying, scanning, faxing, filing expense reports, and maintaining office supplies
- Ensuring compliance with real estate laws and regulations at the local, state, and federal levels.
- Maintaining databases of clients, properties, contracts, and other relevant information.
- Collaborating with attorneys, paralegals, title companies, real estate agents, and other professionals involved in real estate transactions to facilitate smooth and efficient processes.
