Boston investment firm is seeking an Administrative Assistant to add to their growing team. The individual in this role will provide support to the administrative team and provide reception support, conference and meeting coordination, and event planning. The Administrative Assistant will need to be an enthusiastic team player with a positive demeanor and have exceptional client service skills when building and maintaining relationships with vendors and venues.

Position Responsibilities:

  • Assist in supporting multiple internal departments with executing deliverables
  • Support improvements throughout the firm by analyzing information, creating an efficient approach, and communicating solutions
  • Maintain and organize processes and procedures
  • Prepare, edit, and disseminate communications on behalf of the team relating to events
  • Plan and execute in person and virtual events, meetings, and conferences
  • Increase employee engagement and identify potential issues and their solutions
  • Research and recommend vendors, venues, and other requests
  • Create and foster relationships with external vendors and venues
  • Track event details including communications, post-event responses, attendance, budget, etc.
  • Develop tools and resources to ensure successful events, identifying trends, and make recommendations
  • Provide reception desk support including greeting visitors, conference room management, and guest access as needed

Position Qualifications:

  • Bachelor's degree with 4+ years of relevant experience
  • Highly organized with a keen attention to detail
  • Experience in event planning, both in-person and virtual
  • Exceptional communication skills both written and verbal
  • Ability to anticipate problems and identify solutions
  • Utilize discretion when handling confidential information
  • Ability to interact with employees at all levels of the organization
  • Strong technological skills
